Right Mind for Software (“we,” “our,” or “us”) respects the privacy of our users (“user” or “you”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our mobile application Team Mind (the “App”).

We collect information required to facilitate the Human Resources and Team Management functions of the App. The data collected includes:

A. Personal Data We collect personally identifiable information that you voluntarily provide to us (or that your employer provides) such as:

• Name

• Email address

• Phone number

• Employee ID

• Job title and department

B. Biometric & Face Data (Camera Usage) The App requests access to your device’s camera. This is strictly used for the Face Attendance feature.

• Purpose: To verify your identity during Check-in and Check-out.

• Liveness Detection: We may use facial challenges (e.g., asking you to smile or blink) to ensure the attendance is being recorded by a live person and not a photograph.

• Storage: Facial data is processed to create a biometric template which is compared against the profile photo stored in our secure database.

• No Third-Party Sharing: We do not share, sell, or trade your facial data with any third parties for marketing or advertising purposes.

C. Geo-Location Information

• Foreground Only: We collect your location data only when you actively interact with the App to record your attendance (Check-in or Check-out).

• No Background Tracking: We do not track your location in the background while the App is closed or not in use.

• Purpose: To verify that you are within the allowed work zones (Geo-fencing) as defined by your company policy.

D. Device and Usage Data We may automatically collect information about your mobile device, including:

• Device ID and model

• Operating system version

• IP address

• App usage logs (crashes, performance data)

2. Use of Your Information

Having accurate information about you permits us to provide you with a smooth, efficient, and customized experience. Specifically, we use information collected via the App to:

• Process attendance records (Time & Attendance).

• Verify identity using facial recognition technology to prevent fraud (Buddy Punching).

• Validate location compliance for attendance.

• Manage payroll, leaves, and other HR-related requests.

• Send you notifications regarding company announcements or request approvals.

• Improve App performance and fix bugs.

3. Third-Party Software and Services

We may use third-party services to facilitate our App’s functionality. These services may collect information sent by your device as part of a standard web request.

• Google Firebase: We use Firebase for analytics, crash reporting, and push notifications. Firebase collects data such as device identifiers and usage data to help us understand how the App is being used and to improve stability.

4. Data Storage and Security

We use administrative, technical, and physical security measures to help protect your personal information. Your data is stored on secure servers with restricted access. You have the right to request the deletion of your account and personal data.

• In-App Deletion: You can request account deletion directly within the App settings menu.

• Upon Request: Once a deletion request is received, we will remove your personal data from our active databases, subject to any legal or employment record-keeping obligations your employer may have under local labor laws.

6. Children’s Privacy

The App is intended for use by employees and professionals. We do not knowingly solicit information from or market to children under the age of 13.
